How to check your Canadian visa status

Determining whether your Canadian visa has been approved can be a nerve-wracking experience. The only official and definitive way to check your visa status is through your GCKey account on the Immigration, Refugees and Citizenship Canada (IRCC) portal or via the VFS Global tracking tool.

Currently, the processing time for Canadian study permit applications averages 8 to 14 weeks, depending on your country of residence and the volume of applications. Drawing from our experience at Yes Study in handling thousands of successful applications, I will guide you through the process of tracking your status, decoding IRCC terminology, and identifying the “green signals” that indicate success.

Checking Visa Results via GCKey (The Most Accurate Method)

I always recommend that students use their GCKey account as their primary source of truth. Even if you applied through a consultant, understanding how to access this system is essential for your peace of mind.

Steps to Check Your Status:

• Step 1: Access the IRCC Portal: Go to the official Government of Canada GCKey login page.
• Step 2: Log In: Enter your Username and Password. If Yes Study or another consultant managed your application, ensure they have provided you with these details.
• Step 3: Security Authentication: Answer the security questions you set up during your initial application.
• Step 4: View Status: Under the “View the applications you submitted” section, click on “Check full application status.”

Tracking via VFS Global

If you submitted a paper-based application or need to track the physical movement of your passport after receiving an approval request, VFS Global is the appropriate channel. Note that VFS only tracks the physical location of your documents; it does not provide the final decision (approval or rejection) like the GCKey portal.

How to Know If Your Visa is Approved

Over my years in the field, I’ve seen many students panic due to uncertainty. Here are the clear “green signals” that your visa has been approved:

1. Original Passport Request (PPR)

This is the most definitive sign. You will receive an email notification alerting you to a new message in your GCKey portal. Upon logging in, you will find a PDF document titled “Original Passport Request.”

Important: Once you receive this letter, you must send your passport and the request letter to the nearest VFS Global center immediately. Do not delay, as these requests usually have a 30-day deadline.

2. Letter of Introduction (POE Letter)

Once your passport is returned with the visa stamp, you will find a “Correspondence Letter” or Port of Entry (POE) Letter in your account. This is your official document to present to the Canadian Border Services Agency (CBSA) officer upon arrival to receive your official Study Permit.

What is a “Ghost Update”?

In the student community, you may hear the term “Ghost Update.” This occurs when the status changes to “Application/profile updated,” but upon clicking, nothing has seemingly changed. In my experience, this is usually a positive sign—it means a visa officer is actively working on your file. Often, a final decision follows shortly after these updates.
